Job description

Theo is looking for a new, committed personal assistant (m / f) to support him locally in West Palm Beach. His current assistant will remain in Germany, so this is a unique opportunity to step into a trusted, versatile role. As his personal assistant, you'll play a key role in keeping his day-to-day life and business running smoothly — from organizing communications and appointments to handling errands, preparing juices, and keeping the office in flow.

No prior experience? Career changer? No worries — if you are a great fit and meet the requirements, prior experience isn't necessary.

Your Responsibilities

Business & Admin Support

  • Organize receipts, invoices, and assist with basic bookkeeping

  • Draft and sort emails, messages, and communications

  • Conduct research and prepare summaries or lists

  • Coordinate appointments, bookings, and travel plans

  • Handle occasional organizational calls (insurance, vendors, etc.)

On-Site & Personal Tasks

  • Prepare smoothies and juices

  • Run errands (shopping, dry cleaning, post office, etc.)

  • Manage deliveries and online orders

  • Keep the office organized and stocked

  • Help sort and dispose of unneeded items

Salary: $3500 gross per month

Development and promotion opportunities are available over the coming years.

The typical onboarding phase lasts 1-2 weeks.

Job requirements

  • Strong organizational skills – You love keeping things in order and nothing slips through the cracks

  • High level of trustworthiness and discretion – You’ll be handling sensitive tasks and information

  • Self-discipline and reliability – You can manage tasks independently without needing to be micromanaged

  • Fluency in English – Spoken and written communication should be confident and clear

  • Compassionate and kind personality – A calm, caring energy is important in our space

  • Professional appearance and presence

  • Good communication skills – Both in person and in writing

  • Comfort with tech – Email, online forms, Google Drive, and basic tools

  • Driver’s license

    Bonus Points (Not Required, But Appreciated):

    • Interest in holistic health, wellness, or nutrition

    • Experience in a similar assistant, hospitality, or organizational role

    • Knowledge of tools like Trello, Excel, AI or Google Workspace
